No show Policy

Purpose

At BESA Coaching, we value the time and commitment of both our clients and coaches. This No Show Policy is designed to ensure efficient scheduling, maintain fairness for all clients, and uphold the professional standards set forth in our Terms of Service and Privacy Policy.

Appointment Confirmation and Responsibility

Upon booking a session, clients will receive a confirmation notice via their chosen communication method. It is the client’s responsibility to track all scheduled appointments. Failure to receive a reminder or electronic notification does not exempt the client from the obligation to attend the appointment, provided the initial confirmation was delivered.

Timeliness and Session Access

  • Online Appointments: Clients are encouraged to join their online sessions at least five (5) minutes prior to the scheduled start time to ensure a seamless experience. Each coaching session is conducted according to a predetermined schedule.
  • Late Arrival: If a client arrives after the scheduled start time, the session may be shortened to conclude at the originally scheduled end time. The full session fee will apply regardless of late arrival.

No Show Definition and Fees

  • An appointment will be considered a No Show if a client does not attend and fails to notify BESA Coaching or their coach within the designated time frame prior to the session.
  • If a client arrives more than fifteen (15) minutes late to an online session, the session will be classified as a No Show and the full session fee will be charged.
  • No Show fees are non-refundable and non-transferable.

Cancellations and Unforeseen Circumstances

  • Rescheduling: If you are unable to attend your session due to unforeseen circumstances (such as illness, emergency, power outage, or inclement weather), you must notify BESA Coaching or your coach as soon as possible. In such cases, both parties agree to reschedule the appointment at no additional charge.
  • Advance Notice: For cancellations unrelated to emergencies, clients are required to adhere to our standard cancellation policy as outlined in our Terms of Service.

Data Privacy and Confidentiality

All client information, including appointment records and communication regarding cancellations or no shows, is handled in accordance with our Privacy Policy. Information is stored securely and is accessible only to authorized personnel.

Policy Acceptance

By scheduling or attending appointments with BESA Coaching, you acknowledge and agree to comply with this No Show Policy. Failure to adhere to this policy may result in suspension of scheduling privileges or additional actions as described in our Terms of Service.
